Support – Creating and Managing Scheduled events

The Schedule shows many event types, like tasks, appointments, service events, next due dates, reminders, recurring records, repeating events, and entry due dates and show days for Competitions.

The Schedule can be viewed in 3 modes: schedule, agenda, and checklist (mobile app only).

The “Add Basic Events” form can be used ONLINE to add basic details for events like services1, appointments, or tasks. The basic details include:

  • Date of event.
  • Time of event or “All Day”, duration of event.
  • Horses, Participants, Admin-by.
  • Service, if by service2.
  • Description box for further instructions, color code drop menu.

Toggle “Add Events by horse” to select multiple horses and generate an event line for each one.

Use “apply to all” to fill in the same value for all records.

Use the “Add Another” button to add additional rows to create more Basic events.

Click “Save events” to finalize all the events.

Click the “View popup Schedule” link to open the schedule in a new window to quickly see the new events in the calendar or agenda.

Appointments, Tasks, and Service Events can also be added using the “Add Detailed Event” form.
The Detailed Event form is available online and on the mobile app.

There are 3 ways to add a detailed event online:

  1. Use the “Add Detailed Event” button at the top, select which type of event from the dropdown: appointment, service3, task.
  2. Click and drag the Drag&Drop event buttons on the left side below the “Schedule” header onto a specific day.
  3. Double click in the specific day on the calendar.

The “Add Detailed event” form includes all the fields from the Basic Event from, plus the following: :

  • Toggle email notifications on/off.
  • Toggle reminders on/off (Reminders appear 3 days before the event).
  • Assign resources to this event.
  • Enter comments.
  • Duration time slots in 15 minute windows.
  • Set the event as repeating.

What are the Drag&Drop event buttons?

On the left side of the Schedule are buttons for “Appointment”, “Service”, and “Task” that can be dragged and dropped into a Schedule time slot. Use the Start and End date/time fields to set the exact times. These buttons are available in Calendar, Month, Week, and Day view.

To Edit events: Click on the event to open the detailed event form, make the needed changes, click “update” in the upper right.

To Duplicate events: Hover over the event, right click with the mouse, click “duplicate event”. The event will be duplicated on the same day, same time. Double click on the event to edit it and send it to the right time on the schedule.

To Delete events: Click on the event to open the detailed event form. Use the trash can icon at the bottom to delete.

To add service events, appointments, or tasks:

  1. Use the big “+”, choose the event type from the menu, fill out the form, tap “Save”.
  2. Within the schedule section, tap the small “+” in the upper right, choose event type, fill out the form, tap “Save”.

To edit or delete events, tap on them, make any changes needed and tap “save”, or use the trash can icon in the upper right to delete.

At the Performance and Professional levels, use the Agenda view online to create Service Records from Service Events.

  • To Create Records from individual Events, click the “Add Service Record” button for each individual event.
  • To Create Records for a selected time period on Agenda, use the “Create Service Records” button in the Schedule toolbar. A popup menu will show that period’s service records. Toggle on/off to select which events to convert.
  • Click “create records” to go to the Review Records page to double check horses/accounts/and other details. Follow the prompts and advisory messages to confirm your Service Records will be accurate.

  1. Service events are directly linked to a specific service being done, it is a required field. Although adding service records are only available at the Professional, Performance, and GO subscription levels, the “add service events” ability exists for all subscription levels in the schedule. **The GO and Essentials subscriptions do not allow the user to access the “Services & Prices” custom list in settings to create services**. ↩︎
