Use Reports to filter records and information into useful lists.

Reports open in a new browser tab.
Reports can be printed or saved as a PDF by changing the destination in the print dialogue box.
Some Reports can be exported as CSV files.
Reports can be generated within the mobile app.
Share Reports on mobile app via email/text/other messaging app.


Horse Health: shows all types of health records to see health history.

Horse Health report online
  • In step 1, select horse(s) individually or by tag. Archived horses are included in this list.
  • In step 2, select the record type(s) and set the date range.
  • Click “run report”.

  • Select “Health” from the Horse reports section.
  • Set a start and end date to search within.
  • Select horses individually or by tag.
  • Select record types (more than one type can be added).
  • Tap “Generate Report”.
  • The report has 2 actions in the upper right: share and view.
    • Use the up arrow icon to share the report.
    • It can be viewed as a “week” calendar or list view by tapping the calendar/list icons.

Due Dates: shows the next due date for health records like Coggins/renewals, dentist, deworming, vaccinations (any record with a next due date).

Due Dates report online
  • In step 1, select horse(s) individually or by tag. Only active horses are on this list.
  • In step 2, select the record type(s) and how far into the future to show due dates.
  • In step 3, further filter the report by primary veterinarian and primary farrier. This will exclude the selected horses that DO NOT have that vet or farrier saved to their profile.

  • In step 4, choose additional information to include.
  • Click “run report”.
Due Dates report on mobile app
  • Select “Next Due” from the Horse reports section.
  • Set the “show due dates until” to search out to.
    • To capture next annual due dates like Coggins or renewals, set it at least a year out.
  • Select horses individually or by tag. Contact’s next due dates are NOT included in this report.
  • Select record types.
  • The report can also be further filtered by primary vet or farrier but this is not required.
    • The primary vet or primary farrier MUST be saved to the horse’s profile for that horse’s results to be included.
  • Tap “Generate Report”.
  • The report has 3 actions in the upper right: share, view, and sort.
    • Tap the up arrow icon to share the report.
    • It can be viewed as as a “week” calendar or list view by tapping the calendar/list icons.
    • Sort this report by date or by horse, filter further as “show all”, “only show past due items”, or “hide past due items”.

Notes: Use this report to show only the notes added to horses.

Run the Notes report
  • In field 1, select the start and end dates to search within.
  • In field 2, select the horse(s) individually from the dropdown. Archived horses are included in this list.
    • The report info dropdown will select which columns of information to show. Not selecting anything or clicking “select all” will include all the columns. Selecting just one of the types means only that column will be shown, which may not return anything to view.
  • Click “run report”.

Horse Information: Use this report to show specific information that appears on a horse’s profile. This report shows some but not all of the same information that appears on the Detailed Horse information sheet.

  • In field 1, select horse(s) individually or by tag.
  • In field 2, select whether to filter by active and/or archived status.
  • In field 3, select which information from each category to include.
    • If no categories or fields are chosen, nothing will return to be viewed.
    • Select all in all the fields to see all the information.
  • Click “run report”.

  • Select “Information” from the Horse reports section.
  • Select horses individually or by tag.
  • Select which information from each category to include.
    • If no specific items are chosen, the report will generate with ALL by default.
  • Tap “Generate Report”.
  • This report can only be viewed within the mobile app. To share horse information, share from their profile.

Horse Ownership: Use this report to quickly view the ownership of horses in the account.

  • Select which horses to show and click “run report”.
  • Archived horses ARE included to select.
  • Horses owned by an owner group will have only that owner group name showing, no contact information.
  • Horses owned by a single individual will display that person’s contact information

The ownership report in the mobile app will open with ALL horses showing, by default. It can be filtered using the 3 line filter icon in the upper right within the report, by tag or by selecting horses individually.

Temperatures: Use this report to show only temperature records.

  • In field 1, select horse(s) individually from the dropdown. Archived horses are included in this list.
  • In field 2, define the start and end date to search between.
  • Click “run report”.

  • Select “Temperatures” from the Horse reports section.
  • Set a start and end date to search within, select horses individually or by tag.
  • To share this report, tap the up arrow icon in the upper right.

Vitals: Use this report to show some or all of the vitals specific health records. This report does includes temperatures.

  • In field 1, select horse(s) individually or by tag. Archived horses are included in this list.
  • In field 2, select the records type to include and set the date range to search within.
  • Click “run report”

Diagnostics: Use this report to show some or all of the diagnostics specific health records.

Run the Diagnostics report
  • In field 1, select horse(s) individually or by tag. Archived horses are included in this list.
  • In field 2, choose some or all of the records type to include and set the date range to search within.
  • Click “run report”.

Missing Health Records: Use this report to show which specific health type records and/or renewals are missing from a horse’s records history. Select the horse(s) to see what health record types don’t have an entry.

  • Select which horse(s) to search. Archived horses are included in the dropdown list.

Financial reports are only available at our Professional subscription level. They are then only useable by Admin level team members.

Financial reports within the mobile app are view only. The only further actions available are to receive payments or click the link out to the online platform to access the full financial functions.

Balances: Use this report to view the current account balance for all contacts.

Run the Balances report online

To run the Balances report, click the icon and it will open in a new window, no search parameters to set.

Actions within this report are “view” which opens the transactions report form in a new window, and “receive payment” which opens the receive payment form in a new window.

Run the Account Balances report in the mobile app
  • Select “Account Balances” in the Financial reports section.
  • The report only shows the current account balance for each contact. No further actions are available.
  • The only actions that exist in the mobile app financial reports are to receive payments or link out to the online platform to access the full financial functions.

Transactions: Use this report to show the transactional history for one or several accounts. The transactions report can also be used as a statement of account.

Run the Transactions report
  • In field 1, select the start and end date range to search within.
  • In field 2, select the account(s) and transaction type if wanting to filter by one, some, or all types.
  • Click “run report”.

The only action within this report is “view” which will show details of that particular transaction line item.

Invoices: Use this report to view invoicing history. All invoices created will appear here by default, regardless of status; showing only unpaid invoices is possible within the search filters. For more help with invoices, check out our Invoices support page. This report automatically appears within the “Financials” tab, Invoices dropdown.

Run the Invoices report online
  • In field 1, set the start and end date to search within.
  • In field 2, select account(s) individually or by tag. Toggle on/off to only show unpaid invoices.
  • Click “run report”.

Actions within this report include edit draft invoices, receive payment, send via email, view, delete.

Run the Invoices report in the mobile app
  • Select “Invoices” from the Financial reports section.
  • The report is view only.
  • Additional sort functions (to the left of the search bar) include:
    • Sort by invoice date, invoice amount, balance due.
    • Sort as All, Paid, Unpaid, Unsent.
    • Search bar to search through the list by name of contact.

Payments: Use this report to view payment history. This report does not show payments of the type: void/forgiven/paid outside StableSecretary.

Run the Payments report online
  • In field 1, set the start and end date range to search within.
  • In field 2, select an individual account or “All Accounts” from the top of the drop menu. Toggle to include payments of the type: online payment surcharges.
  • Click “run report”.

Actions within this report are show applied payments, edit, view, and delete.

Run the Payments report in the mobile app
  • Select “Payments” from the Financial reports section.
  • The date range of the report can be set by tapping the date line at the top of the report.
  • Payments can be filtered using the funnel icon by All, New Payment, Payment in Full, Payment by Credit.
  • Search payments by contact name using the search bar.
  • Tap on a payment to view it’s details. Payments can be deleted by tapping the trash can icon and double confirming in the pop-up.

Credits: Use this report to see the history of account credit creation and history of use as payment.

Run the Credits report
  • In field 1, set the start and end date range to search within.
  • In field 2, select an individual account or “All Accounts” from the top of the drop menu.
  • Click “run report”.

Actions within this report are view for all credits transactions, edit and/or delete only on credits that were manually created via the “Create Credit” form.

Service Records: Use this report to show the creation history of only service records. The report is formatted in 2 sections: Results Totals, which shows the total dollar amount charged of each service record type within the set date range and Records, which shows the history of all service records within the set date range.

Run the Service Records report
  • In field 1, set the start and end date range to search within, select service(s), select account(s).
    • If no services are selected, the report will default to all services.
    • If no accounts are selected, the report will default to all accounts.
  • In field 2, choose which informational columns to include in the report.
    • Service name and horse name are ALWAYS shown.
    • If no information type is selected, the report will default to show all.
  • In field 3, further filter the records down by horse (individually or by tag) and administered by.
    • The only results returned will be service records the EXACTLY match ALL the selected criteria.
    • If no filters are selected, it will search all active AND archived horses but only active people.
  • Click “run report”.

Billable Records: Use this report to show existing records that have a billable fee, whether or not they have been invoiced.

Run the Billable Records report
  • In field 1, set the start and end date to search within.
  • In field 2, choose what record status to show: all, on an invoice (already billed), not on an invoice (unbilled)
  • In field 3, further filter records by type, horse, account, and/or administered by
    • Records type is ALL by default, but can choose health or service specifically.
    • Active and archived horses are included in the horse list.
    • Only active contacts are listed on the accounts list.
    • Only active contacts are listed on the administered by list.
  • Click “run report”.

Missing Accounts: Use this report to display billable records that have not been assigned to an account for a specified date range. Click “edit” on resulting records to add an account. Click delete and double confirm to delete the record entirely from that horse’s activity.


Only horses marked as mares and stallions appear to add breeding records to. This is also true of Breeding reports.

Pregnancies: Use this report to view all mares currently saved as being pregnant. It also shows last milk test and last pregnancy check records information.

To run the Pregnancies report, simply click the report icon and it will open in a new window. No search parameters need to be set.

Ovulation: Use this report to show only ovulation records.

Run the Ovulation report
  • Select mare(s) from the dropdown menu.
  • Set a start date to define how far back to look.
  • Click “run report”.

Insemination: Use this report to show only insemination records.

  • Select mare(s) from the dropdown menu.
  • Set a start date to define how far back to look.
  • Click “run report”.

Foaling: Use this report to show only foaling records. Foaling records are the recording of when a foal is actually born, not predicted due dates for active pregnancies.

  • Select mare(s) from the dropdown menu.
  • Set a start date to define how far back to search.
  • Click “run report”.

Foaling Due Date: Use this report to show the due dates for active pregnancies. Foaling due dates are the predicted day a foal will be born, not the recording of actual birth dates.

To run the Foaling Due Dates report, simply click the icon and it will open in a new window. No search parameters need to be set.

Pregnancy Monitoring: Use this report to show only pregnancy check records.

  • Select mare(s) from the dropdown menu.
  • Set a start date to define how far back to look.
  • Click “run report”.

Contact Information: Use this report to show specific information that appears on the contact’s profile page.

  • In field 1, select contact(s) individually, by contact role, or by tag.
  • In field 2, select whether to filter by active and/or archived status.
  • In field 3, select which information from each category to include.
    • If no categories are chosen, nothing will return to be viewed.
    • Select all in all the fields to see all the information.
  • Click “run report”.

Due Dates: Use this report to show the next due dates for Renewals specific to Contacts.

  • In field 1, select contact(s) individually or by tag. Only active contacts are on this list.
  • In field 2, set how far into the future to show due dates.
  • Click “run report”.

Billing Contacts: Use this report to show what contact is the billpayer for each horse. Group owned horses will not show anything in the owner and billpayer columns.

  • Select which horse(s) to search. Archived horses are included in the dropdown list.

Entry Blank Stickers

Entry blank stickers create a show related informational sticker to put on horse show entries for horses and contacts.

Horse: Select the horse(s). Use this report to create Entry Blank Stickers with Horse Information. Please note that the report has been optimized to print on Avery 5160 or 8160 labels using the Google Chrome web browser.

People: Select the person or people. Use this report to create Entry Blank Stickers with People Information. Please note that the report has been optimized to print on Avery 5160 or 8160 labels using the Google Chrome web browser.
