Email Tool
The email tool, used either online or within the mobile app, allows Admin and Stable Manager team members to quickly and easily send emails to any contact with an email address on file.
Recipients can be added individually or by tag to ensure the right people get the email each time.
All recipients will be BCC-ed and will only see themselves as the recipient. A copy of the outgoing email will send to the account admin team member(s).
Online
To use the email tool online:
- Click the envelope icon in the top most navigation bar, to the ride side.
- Add recipients by individual contact / owner group, or by tag.
- Owner group members can be added all at once by choosing the relevant owner group from the “contacts” dropdown.
- Contacts and Owner Group members will only be shown if they have an email address saved.
- Adding by tag will add all group members whether they have an email address or not.
- Enter the subject, a message in the body of the email, add any attachments necessary, format as needed.
- Attachments will pull from files on your own computer, not from within the software.
- Click “Send”.
- Recipients may need to check more email folders than just their inbox, in case of filtering by their email service.
Mobile
To use the email tool within the mobile app:
- Using the big “+” button, select “email” from the bottom Other section
- Add recipients by individual contact / owner group, or by tag.
- Owner group members can be added all at once by choosing the relevant owner group from the “contacts” dropdown.
- Contacts and Owner Group members will only be shown if they have an email address saved.
- Adding by tag will add all group members whether they have an email address or not.
- Enter the subject, a message in the body of the email, add any attachments necessary, format as needed.
- Attachments will pull from files on your own computer, not from within the software.
- Click “Send”.
Where else can emails be sent from within Stable Secretary?
Messages added to the message board tool can be forwarded as emails to any team member when creating a new message board message.
In general, sharing any shareable information within the online platform will send that information via email. While some popup email menus will auto-populate the email addresses, most of the time it will be a blank, typeable box and an email can be sent to any email address a team member enters, not just listed contacts.
Within the mobile app, being on a cell phone, sharing information can be sent as an email but also texted, beamed, airdropped, sent to the cloud, or any available application allowed.
Some items that are shareable via email within the online platform include:
- Horse information sheets
- Invoices (professional subscription level only)
- Reminders for next due dates (will happen automatically via settings)
- Schedule events (reminders will be sent automatically via individual event settings)
User tip: Many reports and the records calendar have a “print” function. From within the print dialogue box, choose print to pdf or save as pdf from the destination dropdown to save the file to your computer. Then you can use your regular email to send that document.
Some items that are shareable via email (but also other methods) within the mobile app include:
- Horse Information Sheets
- The day’s agenda view within the schedule
- The day’s checklist within the schedule
- Horse health reports
- Next due dates report
- Temperatures report
- Feed chart report
Of course, anything can be screenshotted within the mobile app and shared from your phone or tablet.
