How To: Team Member user roles

Expand the “Your Stable” menu to edit settings for:

  • Stable Info: edit the stable name, address, phone number, and email address. Add a custom logo to appear on reports and invoices (as applicable).
  • Tags: create, edit, delete tagged groups of Horses and People/Contacts.
    • Tags offer the ability to quickly add records or generate reports for a specific group of horses or people/contacts.

  • Units: set the default units of measurement for horse height and temperature (default is hands and Fahrenheit).
  • Team Members: add/edit/delete team members and set user permissions for managing records and viewing the schedule.
    • all team members have their own unique email and password.
    • refer to the user roles permissions box to understand what each role can and can’t do.
    • View a related page: team members and health providers
  • Health Providers: invite or remove health providers such as veterinarians, farriers, dentist, therapists, etc. to log in themselves to add only health records, view horse profile pages, generate and run some reports.

** Invoicing and receiving payments is only available for the Professional subscription level **

Expand the “Your Invoices” menu to edit settings for:

  • Invoice Settings: set the default currency type, days-due terms, reply-to email address, and add a custom message to appear on every invoice.
    • Contact us at support@stablesecretary.com for adding new currencies.
  • Invoice Preferences: toggle on/off fields to appear on invoices, like subtotals, balance, logo, comments, and more.
  • Online Invoice Payments: select an online payment portal to integrate with StableSecretary to receive payments, or include a custom URL to link to any method your facility may use (e.g. paypal, cashapp, venmo, other).
  • Quickbooks Integration: export invoices and payments from StableSecretary to your Quickbooks account. Contact us to help with this integration.

How To: Services and Prices

Access Services & Prices list at Settings-> Your Lists -> Services.
Store all the services – with their prices – that your facility offers (from everyday services like “extra bedding” or “hold for farrier/vet” to other services like “equivibe/theraplate” or “solarium light”, etc). 

You can choose to store Health Services as Health Records or Service Records. Storing them as Health Records will make them available on Health Reports. Storing them as Service Records makes the default price available.

StableSecretary has default general services which can be edited or deleted. To add a new service, click the “add new service” button in the upper right and fill in the information into the popup menu, then Save.

There are 4 on/off toggles for Services to make them show up – or not – in the following areas: 

  1. General – toggle On to make it available in the Add Service Record menu.
  2. Competition – toggle On to make it available in the Add Service Record for Competition menu.
  3. Billable – toggle On to record a charge to the associated account when invoiced.
  4. Schedule – toggle On to make it available while adding a Service Event.

Editing service names will change the name across all existing records not yet billed to an invoice. 

Editing service prices will NOT change the price on existing records, unbilled or billed.

Deleting a service DOES NOT delete it from existing records, unbilled or billed.

How To: Edit List Items

To add or edit items on a list, navigate to the Settings page using the wheel icon in the top center of the webpage.

On the left-hand side, choose the “Your Lists” menu. Using its submenu, select the type of list to edit. There are default items on each list. You can edit, delete, add to, or keep the defaults. 

On the right-hand side, type in any “New <item> type” to add to the list for your Stable. Enter the name, click the “add new <item> type” button and it will be saved to your list for use in creating records, vitals, diagnostics, feed rations, etc.

Expand the “Your Lists” section of Settings to edit lists for:

  • Horse Information
    • Allergies, Conditions, Feed, Insurers, Notable Behaviors, Registrations, Renewals
  • Contact Information
    • Renewals like passports, lease contracts, boarding contracts
  • Health & Breeding
    • Dewormers, Diagnostics, General Health, Injuries, Inseminations, Joint Injections, Medicines/Supplements, Milk Types, Therapies, Vaccinations, Vitals
      • Adjust the repeat interval for deworming, joint injections, and vaccinations in “Your Preferences” -> Reminders
  • Services & Prices
    • Custom list of all services offered by a facility
    • Able to toggle on/off as general, billable, schedulable, for competition

  • Schedule Resource Groups
    • Resource Groups are for any resources like Paddocks, Arenas, Tack or Equipment, that can be allocated into events on the Schedule
    • Add groups, then click the pencil edit icon to add resources into the group, click “update” to save these items

Expand the “Your Preferences” menu to edit settings for:

  • Display: set the background color of the website, toggle on/off using the show name as the displayed name for Horses or the format “last name, first name” for contacts.
  • Activity Periods: set the default time period of records to be displayed for the entire stable on the records tab and for each horse on their profile page.
  • Reminders: set the default time periods for next due dates and reminders.
    • Automatically generate the next due date for health records to make them repeat such as vaccinations, farrier, deworming, Coggins, and more.
    • Note that changing these intervals by any one user on this page changes them for the whole Team.
    • Toggle on/off to receive a reminders email every Monday morning.
  • Info Sheet: toggle on/off the various details to be included on the Horse Information sheet, a viewable and shareable detail sheet.

  • Schedule: toggle on/off including the next due event for automatically repeating Health events (farrier, vaccinations, dentist, etc) and Renewal types (leases, Coggins, passports, etc) on the schedule.

Expand the “Your Account” menu to edit settings for:

  • Username/password: change your name, email address, phone number and password.
  • Subscription: upgrade or downgrade subscription level, update or change payment info, cancel subscription if necessary.
    • when upgrading or downgrading your subscription level, the dollar difference between the price already paid and the new price will be either credited (downgrading) or charged to the saved payment method (upgrading).
  • Receipts: view receipts for credits, payments, and/or refunds between the account and StableSecretary.
  • Referral Program: send an invite to someone else for them to start their own subscription and receive an account credit when they use your name in the Referral field during sign-up.
    • Referred friend must be a paying subscriber for 90 days to receive this reward, credit applied after these 90 days.
